Right Use of Social Media

The most concerning aspect of social networking platforms is that they encourage people to share personal information. Even the most cautious and responsible individuals can give information they should not. The same applies to what is posted on the company-approved page. Employees many times may not be aware of how their actions online may compromise company security. They do not know that a simple click on the received link to a downloaded application can result in a virus affecting their computer and the network. Keeping this in view, they should be advised not to click on suspicious links and to pay careful attention when providing personal information online. A comprehensive and well-defined policy should b established to prevent abuse.
A social networking policy generally:
1. Defines what social networking is particular to your organization, so employees know exactly what is meant by the term.
2. Establish a clear and defined purpose for the policy.
3. Communicates the benefits of social networking and of having a policy.
4. Provides a clear platform for educating employees.
5. Takes into consideration any legal ramifications of not following laws.
6. Refers to the confidentiality of employer trade secrets and private or confidential information. Talk about productivity in terms of social networking.
7. Provides guidance regarding social networking outside of company time/property that could be associated with the company, employees, or customers. Some employers may prohibit the posting of company information on social networking sites without explicit consent.
8. Provides examples of policy violations.
9. Outlines disciplinary measures to be taken for policy violations.
