EFFECTIVE WAY OF COMMUNICATION- 7Cs OF COMMUNICATION




  1. COMPLETENESS: Every communication must be complete. The information which is sent by the sender must be complete in every aspect so that it can result in effective communication. The sender must understand the receiver’s mind and convey the message accordingly. By completeness, we mean that the message must have all the necessary information to bring the response that is desired. The sender must be able to answer all the questions with proper facts and figures. He should also provide extra details, if necessary.

  2. CONCISENESS: A concise means to convey your message in the least possible words, but still understandable and comprehensible to the receiver. It saves time for both the sender and the receiver. It should be brief, precise and to the point with no repetition. It means providing accurate information in a short period. Too much information might lead to confusion.

  3. CONSIDERATION: Consideration simply means ‘YOU’ attitude. One has to put himself in the place of the receiver while composing a message. It indicates a sense of concern for the receiver. One has to visualize the reader’s problems, desires, emotions, etc. The consideration has to be made about the audience’s viewpoints, background, mindset, etc. It means ‘stepping into the shoes of others’. The self-respect has to be maintained by not harming their emotions.

  4. CONCRETENESS: The communication should be concrete, which means the message should be clear, not general, without any misinterpretation. General messages may lead to misunderstandings that can affect both the sender and the receiver. All the facts and figures should be clearly mentioned in the message. It reinforces confidence. It means being definite rather than vague.

  5. CLARITY: The message has to be clear and easily understandable to the recipient. It has to be clear in the goal rather than chasing too many goals. The words should short to avoid misunderstanding. Easy to understand words should be used. The sender should be clear of the purpose of the message so that the receiver can understand the message clearly. The message has to go smoothly from the mind of the sender to the mind of the receiver. Use familiar and easy words.

  6. COURTESY: In a business letter, everything starts and ends with courtesy. Courtesy can strengthen relations. We can achieve a lot by using polite words and gestures, showing respect, appreciating someone, etc. It can build goodwill. Courtesy means to value the feelings and viewpoints of others, so the message is positive and focused on the audience. True courtesy involves being aware not only of the perspective of others but also their feelings.

  7. CORRECTNESS: Correctness means the correct use of grammar, punctuation, spelling, and pronunciation during communication. The language of the message should be right with accurate figures and facts. The message should be exact and well-timed. When the receiver gets the correct message, the impact is greater, and also the morale of the sender increases with the accurate message. It helps in building confidence. Effective business communication should be free from errors. You can even use a dictionary for help because mistakes can lead to the poor image of your organization.
